Description
The Episcopal School of Baton Rouge seeks a warm, detail-oriented, and technologically savvy Upper School Division Office Administrative Assistant for the 2025-2026 academic year. The Upper School Administrative Assistant serves as the first point of contact for the Upper School Division Office, interacting with students, parents, faculty, and staff. The person in this position reports to the Upper School Division Head and works collaboratively with all division office staff. Main responsibilities include managing Upper School Division Office communications, maintaining division office records (including student and financial records), organizing and implementing Upper School events, and ensuring accurate attendance records. This position is a non-exempt full-time 12-month salaried position with an annual renewal. The position begins on January 5th, 2026.
Description of School
Episcopal School of Baton Rouge, a college preparatory educational community of approximately 950 students and approximately 170 professionals, includes grades PreK-3 through 12 and embraces the whole-child educational philosophy. General Duties
● Manage Upper School communications, including answering phone calls and helping with division-wide communications to faculty, students, and parents.
● Maintain Upper School division records, including confidential student records, division office expenses, and division procedures.
● Provide assistance to students, parents, and faculty with questions regarding Upper School procedures and events.
● Work in collaboration with the Upper School Division Head and Dean of Student Life to organize and implement Upper School events, such as orientation, award ceremonies, and graduation.
● Assist students with checking in and out and tracking student absences.
● Order and organize office supplies for the Upper School Division.
● Maintain Upper School Office and Division Head’s calendar.
Requirements
Personal and Professional Characteristics and Experiences
● A Bachelor’s degree is required. ● Experience as an office administrator or in customer service. School experience is a plus.
● Outstanding communication skills, both written and oral.
● A warm and engaging demeanor and excellent interpersonal skills. An ability to communicate clearly and with appropriate empathy to students, parents, and colleagues.
● Ability to work both independently and collaboratively.
● Strong time-management and organization skills. Ability to multitask and meet deadlines. Project management experience is beneficial.
● Strong technology skills, including word processing, spreadsheets, presentation software, and email programs. Familiarity with other student information systems and an ability and desire to learn are required.
● Appreciation for and understanding of school-aged children.
● Ability to keep sensitive information confidential.
● A sense of humor and high positive energy.
● Embraces the whole-child educational philosophy and supports the school's mission.
● Dedication to creating a welcoming and inclusive Episcopal school community.
